Batch check scanning New

One stack, one pass, every check read.

Feed the checks through the scanner and they upload as one batch. AI reads each one, and the batch waits for your team to review.

01Scan

Scan

Feed the stack through an Epson check scanner. Lightpost Connect uploads the front and back of every check.

02Review

Review

AI reads each check and suggests who gave it. Your team confirms every one, starting with those that need a second look.

03Commit

Commit

Choose the deposit date, and every approved check becomes a contribution, ready for your reports and statements.

AI check reading

A whole stack of checks, read for you.

Typing in every check is the slow part of counting the contribution. Now you scan the stack once, and the reading happens on its own while the page keeps you posted.

Scan the whole stack
Up to 500 checks in a batch, uploaded from your office computer through Lightpost Connect.
AI reads every check
The amount, the date, the name and address, and the memo line, all from the image of the front.
Both amounts, compared
The number in the box and the written line are read separately. If they disagree, you see both and nothing is filled in.
Suggests who gave
A bank account that has given before suggests that person. Otherwise, the name on the check is matched to your directory.
Joint accounts
When more than one person has given from an account, the latest is suggested and the others are one click away.
Catches duplicates
A check already recorded, or scanned twice in one stack, is flagged in review and looked for again before it posts.

Read privately, with storage turned off

Each check goes to the AI with its storage option turned off, and it is not used to train AI models. What it reads comes back only to your Lightpost account. More on check security.

Check scanning comes with Financial Management, an add-on. See pricing.

Review and commit

Nothing posts until a person says so.

AI does the reading, but your team makes every call. Each check is approved or excluded before anything becomes a contribution.

Problems come first
Checks that need a second look go to the top of the list, each with a plain note about what to check.
Match the deposit slip
Enter the deposit total and see the difference as you work. If it is off, checks with uncertain amounts move up the list.
Made for the keyboard
Enter approves and moves on. J and K step between checks, and / jumps to the name search.
Share the work
Every decision saves as it is made, so two counters can work through one batch together.
One deposit date
Choose the date of the bank deposit and every contribution posts on it, so the batch lines up with your statement.
Undo a commit
Caught a mistake? Send the batch back to review with every decision kept, as long as its contributions have not been edited.

What gets flagged

  • Amounts disagree
  • Low confidence
  • Amount not read
  • More than one person
  • No match
  • Possible duplicate
  • Check date
  • Scan issue
  • Missing bank numbers

Later, open any contribution from a batch and its scanned check and deposit date are right there.

One at a time

Just a few checks? The check reader still works.

Batch scanning is an addition, not a replacement. Use a simple check reader for the odd midweek gift, or for every gift if that suits your church.

Scan and it fills in
Run a check through a USB check reader and its routing, account and check numbers fill in.
Knows who gave
If that bank account has given before, the person is picked for you.
Starts from their last gift
Their last amount fills in and the cursor lands on it, ready to confirm or change.
Or just type it
Cash and other gifts use the same screen. Search for a name, then press its number to choose it.

Contributions & expenses

Every gift and every expense, in one place.

Record what came in and what went out, by category, whether it arrived through a scanner, a spreadsheet or online giving.

Contributions
Record checks, cash and other gifts, linked to a member or left without a name.
Expenses
Record what the church spends by category, paid by check or cash, with the check number.
Online gifts, on their own
With the Online Giving add-on, each gift lands here automatically, linked to the giver and the fund.
Import a spreadsheet
Bring in a CSV of contributions or expenses. Map the columns, match categories and people, and your draft is saved along the way.
Find anything
Filter by name, category, amount or date, or by cash, check or online.
Excel export
Download your contributions, expenses and categories as an Excel file.

Categories & budgets

A goal for every fund, a budget for every ministry.

Set up the categories your church already uses, give each one a number to aim for, and see where it stands at a glance.

Income and expense categories
Name them your way, add an accounting code, and keep a description with each one.
Yearly budgets and goals
Set a budget or goal for each category, year by year, and look back at past years.
Choose what members give to
Mark the categories members can pick from when they give online.
Goods and services stay out
Mark categories like camp fees as goods or services, and they stay off year-end statements.

Reports New

The numbers your elders ask for, ready on Monday.

Three reports, built right into your admin. Read them on screen, switch the week or the year, and download a PDF for the meeting.

  • A PDF of every report, one click away
  • Any week or any year, not just this one
  • Quick views of all three on your Finance home

Weekly Report

How did Sunday go? Each week is compared with the week before and with the four-week average.

  • Income, expenses, net and how many people gave
  • Income by category and by method, and expenses by category
  • Year-to-date income against your goal
  • Weeks that start on Monday or Sunday, your choice

Budget Summary

Are we on pace? See the whole year against your goals and budgets, category by category.

  • Income received against goals, and expenses against budgets
  • A progress bar for every category, with what is left
  • A marker for how much of the year has passed, so being behind is easy to spot
  • This year or any past year

Income & Expense by Month

All twelve months side by side for every category, with income, expenses, net and totals, so seasonal swings are easy to see.

Contribution statements

Year-end statements, without the envelopes.

Finalize the year, add a note from the church, and every giver gets their own statement as a PDF by email.

Preview, then finalize
Look over anyone's statement first, then finalize the year with a message shown at the top of each one.
Email them all
Each person gets their own email from your church, with the PDF attached. See who has been emailed and resend when needed.
Mail the rest
Anyone without a working email address is listed for you, so you can download their statement and mail it.
Every year on file
Past statements stay in your history by year. With Online Giving, members can also download their own in the member app.

Statements carry your church's Tax ID, if you add it, and a note about goods or services.

Budget visibility

Let a ministry leader see their budget.

Connect someone to a category, and they can check its budget and what has been used so far, without asking the treasurer.

  • In the member web app and the free mobile app
  • The total used so far, plus a month-by-month chart
  • They never see transactions or who gave what
  • Choose people and categories from one page

Permissions

Help with the books, without seeing every gift.

Giving is private. Roles let you decide who works with the money and who can see what each family gives.

  • Separate permissions to manage records or only view them
  • Contribution amounts have their own permission
  • Reviewing checks needs both Manage and View Amounts
  • A finance manager allows each computer to scan checks

Check security

Check images, handled with care.

A check shows a family's name, address and bank details, so scanned checks get their own protections. See how we protect everything else on our security page.

Account numbers out of your records

Account numbers are never saved as text. We keep a one-way fingerprint to recognize the account, and the last four digits. Only the check image shows the full number.

Private image storage

Check images live in their own private storage, and each link to one expires within minutes.

Only the right people

Only people who can review checks, or edit that contribution, can open a check image.

Images do not linger

Images are deleted 90 days after a batch is discarded, a check is excluded, or its contribution is deleted.

AI reads with storage off

Only the front image is sent, with storage turned off, and it is not used to train AI models. The AI is told never to return bank numbers, and anything that looks like one is thrown out.

A record of who did what

Every check records who reviewed it, and every batch records who committed it and when.

What you need

Two ways to scan, and neither is required.

You can always type contributions in by hand. A scanner or a reader just saves the typing.

For batches: an Epson check scanner

Lightpost Connect scans with the Epson TM-S1000II-NW.

For batches: Lightpost Connect

Link a computer to your account with a code, then allow it to scan checks.

One at a time: a USB check reader

It types the numbers from a check right into the browser. Ask us which readers work.

A web browser

Reviewing checks, reports, budgets and statements all happen in your Lightpost admin.

Questions

Common questions about church finances.

Don't see yours? Ask us, or read the documentation.

Financial Management is an add-on you can turn on for your church, and check scanning comes with it. The pricing page lists the current monthly price.

No. You can type contributions in by hand or import them from a spreadsheet. A USB check reader helps with a few checks at a time, and an Epson check scanner handles the whole stack.

No. Every scanned check waits for a person to approve or exclude it, and nothing becomes a contribution until someone commits the batch.

You correct the amount before approving it. A check is flagged when the amount looks uncertain or the box and the written line disagree. If it can't be read at all, you type the amount in from the image.

Not right now. Reading checks is free while check scanning is in beta.

No. You still take the checks to the bank. Lightpost records them, and the deposit date you choose lines the contributions up with your bank statement.

Not as text. We keep a one-way fingerprint to recognize the account, and the last four digits for you to see. A check image does show what is printed on the check, so images stay in private storage where only people who can review checks or edit that contribution can open them.

To read a check, the image of its front goes to our AI provider with its storage option turned off, and it is not used to train AI models. Like any request to the provider, it can sit in their abuse-monitoring logs for up to 30 days before it is deleted. What the AI reads comes back only to your Lightpost account. Our subprocessors page lists the companies we work with.

Yes. Import contributions and expenses from a CSV file. You map the columns and match categories and people, and your draft is saved along the way.

It tracks income and expenses by category, with budgets and reports. It isn't double-entry accounting, and it doesn't connect to your bank.

An add-on for any plan

Count it once, count it right.

Financial Management works with your directory, so gifts are tied to the right people from day one. Add it to any Lightpost plan.
